Role Purpose

To project manage the creation of a new operational organizational structure across two of KTA’s key locations to enable sustained improvements to operational processes and data.

Key Accountabilities


Project Governance


  • Set up internal project governance in accordance with Keolis standards to provide the relevant project leadership, ensuring the delivery of outcomes to time and budget
  • Work in close collaboration with the relevant Regional Vice Presidents and the GMs to ensure full ownership of the project and its outputs
  • Coordinate engagement sessions with the relevant stakeholders in order to ensure the expertise and experience of the KTA and KNA management team is captured through each phase of the project
  • Strong adherence to quality, cost and timeline requirements as it relates to corporate governance requirements
  • Protect Keolis’ interest by highlighting key risks to steering group and review project resourcing to enable project delivery
  • Prepare regular progress reports
  • Assure the day-to-day Project Management with the project team, the KTA Support Team and the operational teams
  • What good looks like in terms of outputs:
    • Project Plan
    • Regular project reports, consistent with project management reporting
    • Project’s Risks and Opportunities register
    • Financial reporting on project costs


Process Design and Improvement


  • Coordinate and in some instance design the operations management system, ensuring consistency with the KTA policies and processes and the locations’ policies and processes
  • Create a project plan describing the timeline and resources required for the creation of the operations management system
  • Design, implement and maintain specific elements of the Operations Management System: Dispatch processes; some HR processes; Operations Reporting and CI processes
  • Monitor the implementation of the relevant processes, from implementation to steady state
  • What good looks like in terms of outputs:
    • Operations processes documented in the authorized procedure and work instruction templates
    • Documented plan on implementation of the Operations Processes


Organizational structure design and implementation (if agreed, expand)


  • Lead the design of the new organizational structure, ensuring that the structure, the thumbnail and the job descriptions are consistent with the operational processes designed
  • Coordinate the attraction, recruitment, appointment of the team in the new structure, working in collaboration with HR
  • Coordinate the competency training of the new team, in alignment with the new processes and tools designed
  • Coordinate the roll out of the personal effectiveness procedure, enabling the GM in implementing a fair and transparent process in managing the effectiveness of the new team
  • What good looks like in terms of outputs:
    • Time in motion study on historical structure
    • Documented new structure
    • Job Descriptions and Thumbnail
    • Recruitment plan
    • Competency training documents (electronic or hard copy) linked to the relevant processes and tools.



Performance management framework


  • Lead the mapping of the relevant data into our current IT tools, documenting the inputs of outputs. This encompasses all relevant operational data (eg. Safety; Operational Performance; Customer feedback; employee engagement; financial performance)
  • Lead the design and implementation of dashboards across all new roles, setting the relevant KPIs, the data source, the formulas and the relevant targets per role. Through a documented process, set the frequency for production and distribution
  • Lead the design of the continuous improvement framework relevant to the size and complexity of the locations.
  • What good looks like in terms of outputs:
    • Data inputs and outputs documented through the operations process mapping
    • Dashboard designed in BI per role
    • Performance Management Framework documented


Managerial Leadership


  • Effectively lead the project team to ensure their commitment and capability to deliver the operational transformations aimed by the project
  • Manage direct reports and coordinate their workflow in order to meet the Project timelines and that work product is the quality that is required for delivering the qualitative and quantitative outputs of the project
  • Continually review the organizational capability and escalate early, any issues or concerns in meeting the required outcomes.
  • Communicate regularly and effectively with the team to ensure alignment on information, direction and emerging considerations
  • Provide regular, relevant updates on project risks and opportunities to ensure early advice on any additional support requirements
