Position Summary:

The Payroll Specialist reports to the Payroll Manager and will be a member of the Finance team that will ensure accurate processing and recording of company’s payroll, provide timely and accurate financial information, and participate in daily data entry payroll processing. This position will be responsible for processing accurate and timely payment of salaries and wages while in compliance with company and state regulations.  You’ll also handle clerical and administrative responsibilities as needed.    

Core Competencies/Responsibilities:

  • Perform daily payroll department operations
  • Manage workflow to ensure all payroll transactions are processed accurately and timely
  • Review payroll prior to transmission and reconcile to system generated reports
  • Understanding of taxation and employer paid benefits
  • Process accurate garnishment calculations and compliance
  • Process accurate and timely quarter and year-end reporting when necessary
  • Develop ad hoc financial and operational reporting as needed
  • Prepare manual checks
  • Load payroll files into GL system from all divisions
  • Respond to employee inquires
  • Maintain accurate records and prepare reports
  • Resolve issues and answer payroll-related questions
  • Manage and track all PTO by location
  • Collaborate with other divisions/unions on a daily basis
  • Update 401k deferrals/loans
  • Upload 401k contributions on a weekly basis
  • Process union payments weekly/monthly 


  • 3-5 years of proven experience processing payroll
  • Ability to meet critical deadlines and achieve organizational objectives
  • ADP and UltiPro system knowledge preferred
  • Multi-state payroll and tax knowledge required
  • Union/non-union payroll knowledge preferred
  • Must be proficient in Microsoft Office Suite, with an emphasis on Excel
  • Proficiency with accounting software; experience with Sage 100 a plus
  • Excellent written and verbal communication skills; ability to work across departments
  • Ability to exercise discretion and confidentiality is essential
  • Strong attention to detail and excellent organizational skills a must
  • Ability to thrive in a fast paced environment to meet required deadlines
